Privacy Policy

1. Introduction
CareGrade™ ("CareGrade," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the CareGrade mobile application and website (collectively, the "Platform"). Please read this policy carefully. By using the Platform, you agree to the practices described here.
2. Information We Collect
a. Information You Provide
- • Account registration details (name, email address)
- • Referral and care inquiry information you submit
- • Messages sent to Clara, our AI concierge (shared with OpenAI for processing — see Section 5)
- • Voice input when using Clara's voice feature (processed in real time; not stored)
b. Information Collected Automatically
- • Device type, operating system, and app version
- • Pages visited, features used, and session duration
- • IP address and general geographic region
- • Crash reports and performance data
c. Location Information
With your permission, we collect your device's location to show nearby senior living communities and calculate driving distances. You can disable location access in your device settings at any time. The app will still function without location access, but distance-based features will be unavailable.
d. Microphone
With your permission, we access your microphone solely to enable voice input for Clara, our AI concierge. Audio is processed in real time for speech-to-text conversion and is not stored or recorded on our servers. You can disable microphone access in your device settings at any time; text input remains fully available.
e. SMS / Text Message Opt-In
If you opt in to receive SMS (text message) communications, we collect your mobile phone number solely to deliver the messages you requested, such as referral updates, appointment reminders, and account notifications. SMS opt-in data will not be shared or sold to third parties for marketing purposes. You may opt out of SMS communications at any time by replying "STOP" to any message or contacting us at concierge@icaregrade.com.
Care Intel Systems LLC dba CareGrade™ does not share mobile numbers, text messaging originator opt-in data, or consent with any third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, excluding aggregators and providers of the Text Message services.
3. How We Use Your Information
- • To provide and improve the CareGrade Platform and its features
- • To power Clara's AI concierge responses with relevant community context
- • To process referrals and connect families with senior living communities
- • To send transactional emails (referral confirmations, follow-ups)
- • To analyze usage patterns and improve user experience
- • To detect fraud and maintain platform security
- • To comply with legal obligations
We do not sell your personal information to third parties.
4. Sharing Your Information
We may share your information in the following limited circumstances:
- • Senior Living Communities: When you submit a referral or inquiry, your contact information is shared with the relevant community for the purpose of scheduling a tour or follow-up.
- • Service Providers: We use trusted third-party services including OpenAI (AI-powered chat and content generation), Google Maps (location), and Google Cloud (voice transcription). These providers are contractually bound to protect your data. See Section 5 for details on AI data processing.
- • Legal Requirements: We may disclose information if required by law, subpoena, or to protect the rights and safety of our users or the public.
- • Business Transfers: In the event of a merger or acquisition, your data may be transferred as part of that transaction.
5. AI Data Processing & Third-Party AI Disclosure
CareGrade™ uses artificial intelligence to power the Clara Concierge™ assistant, specialist chat personas, regulatory summaries, and other intelligent features. When you interact with these AI features, the following applies:
- • Third-Party AI Provider: Your chat messages, voice transcriptions, and inquiry content are transmitted to OpenAI, our third-party AI provider, for processing and response generation.
- • Data Shared: The specific data sent to OpenAI includes the text of your messages, any context you provide (such as care type, location, budget preferences), and conversation history within the current session.
- • Purpose: This data is used solely to generate personalized responses, community recommendations, and guidance related to your senior living search. It is not used for advertising or sold to any third party.
- • Data Protection: OpenAI processes this data under a formal agreement with CareGrade™. OpenAI does not use your data to train its models and retains data only for a limited processing period consistent with its API policies. We require OpenAI to maintain data protection standards equivalent to our own.
- • User Consent: Before any data is sent to OpenAI, you are presented with an explicit consent screen within the app. You must affirmatively agree before your data is shared. If you decline, AI features are disabled, but you may continue using non-AI features of the platform.
- • Withdrawing Consent: You may withdraw your AI data sharing consent at any time by clearing your app storage or contacting us at concierge@icaregrade.com. Upon withdrawal, AI features will be disabled until you re-consent.

6. Data Retention
We retain your personal information for as long as your account is active or as needed to provide services. You may request deletion of your account and associated data at any time by contacting us at concierge@icaregrade.com. We will respond within 30 days.
7. Children's Privacy
CareGrade is not directed to children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us immediately.
8. Security
We implement industry-standard technical and organizational security measures to protect your information. However, no method of transmission over the internet or electronic storage is 100% secure. We encourage you to use a strong password and keep your login credentials confidential.
9. Your Rights
Depending on your location, you may have rights including:
- • Access to the personal data we hold about you
- • Correction of inaccurate or incomplete data
- • Deletion of your personal data
- • Opt-out of certain data uses

10. Third-Party Links
The Platform may contain links to third-party websites and community profiles. We are not responsible for the privacy practices of those sites. We encourage you to review their privacy policies before providing any personal information.
11. Changes to This Policy
We may update this Privacy Policy periodically. We will notify you of significant changes by updating the "Last Updated" date at the top of this page and, where appropriate, by email or in-app notification. Your continued use of the Platform after changes constitutes acceptance of the revised policy.
